Data Protection Policy

Under the 2018 General Data Protection Regulation (GDPR), the FCOA must secure the consent of all members to the retention of their details in its database and occasional use as described below.  We ask new members to send an email with a set form of words when their application is confirmed.  Consent may be amended or withdrawn at any time by email.

The Association database contains the following personal information provided by members:

On joining, members choose how much of this information, if any, they wish to be available to other members on the Association’s website. This information is NOT accessible by the public.

We use members’ postal and email addresses to send circulars, newsbriefs and Password magazine from time to time. In addition, we occasionally and only when specifically authorised, send members’ names and postal addresses (only) to partner organisations who wish to invite them to events of potential interest. We only do this for invitations and NOT for any other purposes.

Financial Data

We do not store or process any of our members’ card or bank details on the FCOA database.  All online payments are made direct to Barclaycard and do not pass through our office.

Country of Merchant Domicile:

The FCO Association’s head office is located in the United Kingdom.

Return, Refund and Cancellation Policy.

Goods: if any goods supplied by us are defective, damaged or not as ordered, we will provide a full refund on return of the goods.

Events: the full cost of booking any event, minus a refund handling fee of £2, will normally be refunded on cancellation up to one month before the event or up to the point where we incur expenditure on your behalf for reservations, whichever is the earlier.

Delivery Policy:  goods and tickets will be despatched by Royal Mail to your home address on receipt of payment.

Transaction Currency:  all transactions are in GBP.

Export Restrictions:  we are not aware of any restrictions on the export of our goods or services.

How we communicate with you

You must provide us with a single email address through which we can contact you and or your spouse/partner if applicable and which you will use to log in to our website.  We are unable to store or use second email addresses.

We will communicate with you by email.  We may do so individually or by bulk email.  We request that you do not unsubscribe from our bulk email facility (currently Mailchimp).  If you choose to do so, it may be difficult to reinstate you, and you will miss important announcements.
